Mac Preview: split a multi-account bank PDF into working copies
Updated · 2 min read
To separate a bank PDF containing several accounts on a Mac, preserve the issued original and create working copies from verified page selections in Preview. Decide which pages belong to each account before dragging thumbnails. Preview can move pages; it does not identify account boundaries for you.
This method prepares review copies, not new official statements. Once the pages are checked, LocalExtract can prepare a CSV from one PDF at a time.
The desktop apps export date, description, and amount as CSV. Open CSV in Excel to save an XLSX workbook. Statement support varies: verify the result against your own PDF.
Preserve the original before selecting pages
Apple documents File → Duplicate, then File → Save, in its copying instructions. Give the working copy a distinct filename and leave the original in your source folder. A PDF with a signature or annotations needs its own preservation check; do not assume a rearranged copy retains the original’s evidential properties.
Open the copy and choose View → Thumbnails. Apple’s page-management guide explains that dragging thumbnails from the sidebar to the desktop creates a new PDF. Select the identified pages for one account and drag them to create its working file; open that file to verify the actual selection and order.
Map source pages to account workpapers
Use the printed account and period, continuation text and summary references to decide membership. Physical page position and the account’s first appearance are not sufficient when a shared cover or later summary concerns several accounts.
| Synthetic source position | Content defined by this exercise | Working copy |
|---|---|---|
| 1 | Shared cover for accounts A and B | A and B |
| 2–3 | Account A transactions | A |
| 4–5 | Account B transactions | B |
| 6 | Shared closing summary | A and B |
The A copy needs source positions 1, 2, 3, 6; B needs 1, 4, 5, 6. Preserve both shared pages in each relevant workpaper. These memberships are supplied for the example, not a rule for every bank PDF. The synthetic page map checks that both accounts retain the shared pages and that their union covers the original six positions.
Check the new files before extraction
Reopen each new PDF and compare its pages with the original. Record the original position beside each working-copy position, including shared pages. Check that no continuation page is missing and that no page changed order. Retain a note explaining that the copy is account-specific supporting material and where to find the complete original.
If one page contains transactions for two accounts, page-level splitting cannot isolate them. Retain that page and flag mixed-account rows for manual review; do not claim that Preview or LocalExtract automatically separates the accounts. If the source itself appears incomplete, resolve that separately before considering the copy ready.
LocalExtract performs local PDF parsing/OCR and exports date, description, amount CSV. It does not certify a working copy or create account ownership evidence. Use the CSV verification guide after extraction, then download LocalExtract if needed.
