Shopify Payments deposit differs from sales: use the payout

Updated · 3 min read

To explain one Shopify Payments bank deposit, open the specific payout and its included transactions. A sales report or a period activity total answers a different question. First confirm that the deposit comes from Shopify Payments rather than an external provider, and keep each payout currency separate.

The desktop apps export date, description, and amount as CSV. Open CSV in Excel to save an XLSX workbook. Statement support varies: verify the result against your own PDF.

Export the selected payout, not a sales subset

  1. With store-owner or appropriate payout access, open Finance → Payouts.
  2. Choose the payout date. If several payouts share a date, select the exact payout rather than treating the date as its identity.
  3. Inspect destination, reference, status, amount and currency. Retain that context with the downloaded file.
  4. Export that payout’s transactions and check that amount, fee and net components are complete. A category filter can omit a refund or adjustment needed to explain the deposit.

These selection and export controls use Shopify’s payout-detail instructions.

The newer payout view and displayed Payout ID are early-access features. Do not assume every store has that interface. The documented payout CSV columns do not promise an exported payout_id. Preserve the payout’s identity and export context in a separate control record rather than fabricating a CSV field. See the same official payout-detail documentation for the early-access interface and listed CSV columns.

Distinguish three reporting layers

Pending amounts and dates are estimates. Deposited means Shopify sent the payout to the bank, not that the receiving bank has posted it. Compare with the actual bank observation before closing the exception. Source: payout status definitions · activity-report scope.

The Shopify Payments activity report under Finance → Documents helps review a period’s balance movements; it is not a revenue report and need not equal one payout. Third-party-processed payments and certain methods are outside Shopify Payments, as are Shopify billing fees. An absent external-provider payment is not proof that Shopify lost that sale. Its provider-specific settlement evidence needs a separate investigation.

Build a bounded deposit bridge

The synthetic payout example stipulates 500 of included payments, 15 in fees and a 50 refund, giving a 435 payout in one currency. A separate 200 external-provider sale is excluded from this payout, not erased from the store’s history. A pending 80 is not added to the observed 435 bank credit.

Included payments500Payout population
Fees−15Already deducted in net
Refund−50Included balance movement

Compare every included net component and the retained payout context before comparing the amount. If the actual bank reference is missing, keep the candidate match open even when amounts agree. The example checks arithmetic and source populations only; it does not establish a universal gateway-to-bank identifier or test a Shopify export.
