Booking.com bank transfer or virtual card: which records reconcile it?

Updated · 3 min read

For an accommodation bookkeeper reviewing Payments by Booking.com, obtain different evidence for bank-transfer payouts and virtual credit card (VCC) collection. A reservation amount, a card’s available balance and a posted bank credit are not interchangeable records. Establish the property, location, payment model and authorised user before choosing the report.

The desktop apps export date, description, and amount as CSV. Open CSV in Excel to save an XLSX workbook. Statement support varies: verify the result against your own PDF.

Bank-transfer payouts: retain the payout population

Booking.com: two evidence chains

The Partner Hub bank-transfer guide gives Finance → Payout info for the monthly total and reservation-level payout breakdown. Preserve the existing payout’s period, currency, reservation references and actual bank observation. The transfer date is not itself evidence that the receiving bank has posted the funds.

For multi-property partners with group Extranet access, the documented statement route is Finance → Financial Reports, then the selected period and filters, Generate report, format PDF/CSV/XLS, and Create report. Do not promise that group route to every single-property user. A generated period report also does not prove that an omitted reservation belongs in the selected payout.

The statement concerns payments handled through Payments by Booking.com; direct-property collections and Pay at Property reservations are outside that report. The same help makes fee/commission handling dependent on the property’s arrangement and location. Do not subtract a guessed fee twice or use a commission invoice as if it had the same population as remittance information.

VCC: collection evidence still needs a settlement record

The Partner Hub VCC guide makes this payment method conditional on property/location eligibility and a POS system that accepts VCCs. Card-detail access requires admin or reservations rights. A public API permission or a general finance role does not establish those Extranet rights.

For an existing reservation, the documented route starts at Reservations, then the guest or reservation entry. Available balance can be shown in reservation details, VCC details or virtual-card management where accessible. Record only the needed reservation reference, observed status/balance, currency and observation time; do not copy a card number, expiry date or CVC into the reconciliation worksheet. This review does not charge, pre-authorise or refund a card.

An available VCC balance is not a bank receipt. Obtain the existing authorised merchant/acquirer charge and settlement record separately, with the relevant settlement reference and bank posting. If it is missing, retain that missing link rather than treating the available balance as deposited cash.

A fictional two-reservation review

Supplied recordReview boundary
R1 appears in a bank-transfer payout breakdownCompare R1 within that payout’s included population and retained context
R2 has an available VCC balance of 120 in the supplied currencyThe balance alone proves neither a completed charge nor a bank settlement
An unrelated bank credit is also 120, without a settlement referenceEqual amounts do not connect the credit to R2
Processor/acquirer evidence for R2 is absentKeep R2’s settlement open; do not add its available balance to R1’s bank payout

The reservation comparison data are constructed, contain no real guest or card data, and do not establish property entitlement, fees or a live settlement. Keep reservation identity, collection method, payout/processor identity and bank observation separate. The bank reconciliation guide provides the wider evidence sequence.

For a bank record available only as PDF, LocalExtract prepares local CSV, one PDF at a time with date, description, amount. It does not retrieve Extranet records, handle VCC details or settle reservations.

Official accommodation Partner Hub help checked October 17, 2026. Applicable property settings, location and actual user access remain necessary context.
