Shopify gift cards: why redemption is not another bank receipt
Updated · 3 min read
A Shopify gift-card redemption pays an order, but it does not create another external bank receipt for the redeemed value. Distinguish card sale, administrative issuance and later redemption before matching mixed-tender orders to provider payouts.
The desktop apps export date, description, and amount as CSV. Open CSV in Excel to save an XLSX workbook. Statement support varies: verify the result against your own PDF.
Obtain the finance reports for the right question
- Open Analytics → Reports and choose the Finances category.
- Review Gift cards sold to identify value sold for money; keep administrative issuance without collection separate.
- Use payment reporting for the externally processed tender and gift-card reporting for the outstanding balance. Retain their report periods with the order reference.
- For a later redemption, trace only the new external tender through its actual provider settlement. Do not add the redeemed gift value as another processor receipt.
These report roles follow Shopify’s finance-report documentation. A gift-card redemption is not a second payment through the original external processor.
For an outstanding-balance question, use the relevant gift-card report’s daily redeemed and refunded values. The gift-card CSV is organized around cards and creation dates; it is not an across-card, per-event gift-card ledger report. Do not combine those different grains as though each row were another transaction.
Separate the new external portion
In the synthetic tender exercise, a card is sold for 100 through an external payment method. Later, a 100 order uses 60 of gift value plus 40 paid externally. The later order contributes only 40 of new external cash; the remaining gift balance is 40. Adding another external 100 for the redemption duplicates 60. No processing-fee rate or tax treatment is assumed.
| Synthetic stage or balance | Value | New external cash at that stage |
|---|---|---|
| Original gift-card sale | 100 | 100 |
| Later order total | 100 | Only its external tender |
| Gift tender on that order | 60 | 0 |
| External tender on that order | 40 | 40 |
| Gift balance after redemption | 40 | Not another receipt |
Keep order and tender references with their report periods. The original sale’s payout can belong to a different date from redemption. Trace only the externally processed part through its actual provider settlement; the gift balance itself is not a bank account.
Do not delete temporary entries blindly
Shopify documents temporary duplicate gift-card entries with failed mixed-tender payments, including 3D Secure failures. Their presence is a reason to inspect payment outcome and gift balance, not to delete similar rows automatically or label every event as cash. Preserve failed attempts and their status while resolving the actual successful payment.
This exercise checks value allocation under stated assumptions, not a live Shopify payment or a tax liability calculation. Use the Shopify Payments payout guide only for the portion that actually belongs to that provider.
