NatWest UK courier cash deposit is missing or lower: trace the evidence
Updated · 3 min read
For a NatWest UK business courier cash deposit that does not match a store handoff record, collect the store, courier and bank evidence separately. A lower bank credit alone does not identify where a difference arose or who is responsible. First establish the actual service and the bag or deposit being reviewed.
The desktop apps export date, description, and amount as CSV. Open CSV in Excel to save an XLSX workbook. Statement support varies: verify the result against your own PDF.
Establish which cash-in route was used
NatWest’s Courier Cash Services guide distinguishes Direct Cash In, delivered to a NatWest cash centre, from Consolidated Cash, processed at a courier’s cash centre. Its service conditions concern UK businesses with a NatWest business current account; availability and contracts remain conditional. Do not apply a cash-out delivery procedure to a deposit investigation.
Record the existing service agreement and deposit reference. The store’s shift-close or handoff log is an additional business record in this review, not a NatWest-generated count report or a bank-certified statement of the cash collected.
Follow the documented missing-deposit enquiry
The guide’s missing-deposit FAQ asks the business to contact its usual bank contact with credit-slip details and bag numbers so the bank can establish whether the delivery reached its cash centre. If the bank has not received it, the next enquiry is to the courier using the collection receipt to trace the bag.
The same FAQ describes bank responsibility passing when the bag has reached its cash centre and a receipt has been issued. Courier liability depends on the contract. Preserve the collection and delivery evidence; the accountant’s register must not decide liability from two totals or turn this FAQ into a legal finding about a particular shortage.
Keep four evidence stages
| Stage | Record to obtain |
|---|---|
| Store handoff | Actual shift/deposit record, scope and recorded amount |
| Courier collection | Collection receipt and connection to the same bag/deposit |
| Delivery/processing | Actual delivery receipt or bank/courier response for the applicable cash-in service |
| Bank posting | Observed credit, date and reference, without silently replacing earlier stages |
In the fictional deposit case, a store record states 1,000 GBP and the observed bank credit is 980 GBP. If collection amount and delivery evidence are missing, the arithmetic difference is 20 GBP, but its location and cause remain unknown. The collection receipt is not automatically a cash count, and a bag number is not a verified barcode field. Do not enter a loss, fee or employee receivable solely from this example.
Keep unknown amounts blank or explicitly unknown, not zero. Ask which document establishes each stage, who may supply it and whether all records concern the same bag. If two deposits share a date, the date alone must not merge their evidence. The bank’s response that a bag has not arrived and a delivered bag with a later posting question require different follow-up records.
For a PDF bank statement, LocalExtract can prepare local CSV rows, one PDF at a time with date, description, amount. It cannot reconstruct physical custody, read courier receipts as a verified cash count or determine responsibility for a shortage. The bank reconciliation guide covers the wider statement-to-books review.
