Zoho Books: Unmatch or Uncategorize a wrong bank line?
Updated · 3 min read
In Zoho Books US, undoing a wrong bank match is different from undoing categorization. Unmatch returns the bank line to Uncategorized and retains the book transaction as manually added. Uncategorize also returns the line to Uncategorized, but deletes the transaction created in Zoho Books. Establish which state you have before choosing an action.
This is a correction of an existing association, not another statement upload. If you need to inspect a PDF source, LocalExtract can prepare a local CSV; it cannot reverse a Zoho match or correct an invoice allocation.
These steps assume an eligible bank line outside a completed reconciliation or locked accounting period. If reconciliation or a period lock already protects it, refer the correction to the responsible accountant; do not undo reconciliations or bypass a lock just to expose these actions.
The desktop apps export date, description, and amount as CSV. Open CSV in Excel to save an XLSX workbook. Statement support varies: verify the result against your own PDF.
Identify the bank line and the book transaction
Keep the statement reference and the existing Zoho transaction reference together. In Banking, select the relevant bank account and inspect the affected movement. Check whether it was matched to a record that already existed or categorized into a transaction. Zoho’s reversal instructions give different consequences for these two states.
Do not choose Uncategorize as a stronger version of Unmatch. Before reversing a categorization, identify the transaction that would disappear and any review that depends on it. A bank line returning to Uncategorized does not prove that its earlier accounting treatment has been corrected appropriately.
Choose the reversal by its effect
| Current situation | Documented action | State to review afterwards |
|---|---|---|
| Bank line matched to an existing transaction | Select it and use Unmatch | Bank line Uncategorized; book transaction manually added |
| Bank line categorized into a transaction | Select it and use Uncategorize | Bank line Uncategorized; corresponding Zoho transaction deleted |
| State or transaction identity unclear | Stop the correction | Obtain the original association and transaction evidence first |
For a wrong match, inspect the retained manually added transaction before matching the bank line elsewhere. Unmatching the bank association is not evidence that a payment recorded against an invoice is itself correct. If the underlying payment record also needs correction, keep that as a separate reviewed change.
Zoho’s multiple-payment matching guidance distinguishes existing customer payments from invoices offered when no payment has yet been recorded. Determine which object is present rather than creating another payment merely because the bank line is Uncategorized again.
Keep a before-and-after association record
The synthetic reversal worksheet uses bank alias Z-B and book alias Z-L. In its matched scenario, the expected result retains Z-L; in its categorized scenario, that record is removed by the documented action. These are deliberately different outcomes, not two ways to delete a duplicated bank line.
Record the original state, reviewed action and resulting state. If the result does not match the chosen scenario, investigate before adding another transaction. The worksheet is an editorial state model, not an execution of Zoho Books.
The general reconciliation guide covers balance and exception review after a correction. LocalExtract handles one PDF at a time and exports date, description, amount CSV; it does not access the Zoho ledger. Download for a PDF-only source.
