Ramp CSV export: why did items leave the Accounting queue?

Updated · 3 min read

If a Ramp CSV download is followed by transactions disappearing from Accounting, identify which export action was committed. An Expenses reporting export leaves the Accounting queue unchanged. A committed Accounting export can clear selected items. A downloaded file and a successful entry in your accounting system are separate pieces of evidence.

This is a US Ramp card-transaction workflow question. For PDF-only supporting records, LocalExtract can prepare a local CSV; it cannot inspect or change Ramp’s sync state.

The desktop apps export date, description, and amount as CSV. Open CSV in Excel to save an XLSX workbook. Statement support varies: verify the result against your own PDF.

Choose a reporting download when you only need evidence

Ramp’s CSV export guide directs reporting users to Expenses → Transactions and the download icon. Inspect Export settings, visible columns and applied filters before downloading. Extra fields enabled through your accounting configuration are not necessarily included in the default table export.

Owners and Admins can access company-wide reporting; Manager reports cover their teams. Guest users cannot export transactions. A file downloaded successfully by a Manager is therefore not proof that it includes the whole company. Ask an appropriately authorized administrator for the required scope instead of trying a different Accounting action to bypass the limitation.

Distinguish the Accounting actions before using them

The mark-as-synced instructions distinguish these cases:

Action and setupEffect relevant to this problem
Expenses reporting downloadDownloads table data without clearing the Accounting queue
Direct ERP flow: Just download or Preview onlyPreview download; does not mark transactions synced
Direct ERP exception: Mark as syncedClears selected items without sending them through the direct ERP sync
Universal CSV committed exportRemoves exported items from the Accounting queue; manual destination import remains separate

The labels depend on the integration. Inspect Accounting → Card Transactions, selected records and the review screen for your setup; do not assume every integration has an identical standalone “Export as CSV” button. Marking items synced merely to obtain a report changes the accounting workflow unnecessarily.

Reconstruct what happened without repeating the export

Keep the transaction identifiers, export file, selected period, action used and integration type together. Check whether the records are still pending in Ramp, then separately inspect whether the intended accounting records exist in the destination. If the queue is clear but the manual import has not happened, absence from the queue does not prove that the destination is complete.

The synthetic route comparison contrasts three teaching states: reporting download, preview download and committed export. Only the committed example clears the queue. These are defined examples, not recorded Ramp operations.

Do not rerun a committed export or attempt a blanket unsync to repair an unexplained difference. Preserve the export history and destination evidence for the person responsible for the integration. A direct ERP sync and a manual Universal CSV workflow have different recovery constraints.

For the file and review handoff, use the bookkeeping workpaper guide. LocalExtract processes one PDF at a time into date, description, amount CSV; it does not create Ramp’s accounting fields or synchronize your ERP. Download for a PDF source.
