GnuCash card reconciliation: check the balance display

Updated · 2 min read

A positive credit-card balance in GnuCash does not necessarily mean that the issuer owes you money. The Reverse Balanced accounts preference changes how credit-account balances are displayed. Check that preference and the account type before choosing the ending balance for reconciliation.

A PDF card statement can be converted locally with LocalExtract into date, description, amount CSV. Those fields do not encode GnuCash’s account type or balance-display setting.

The desktop apps export date, description, and amount as CSV. Open CSV in Excel to save an XLSX workbook. Statement support varies: verify the result against your own PDF.

Establish the liability and display convention

Open the card account and confirm its type is Credit Card, rather than an asset bank account. In the GnuCash v5 account preferences, inspect Reverse Balanced accounts. The default Credit accounts setting reverses the displayed sign for normally credit-balanced accounts, including liabilities. Another preference can show the same underlying debt differently.

The official card-reconciliation example uses a statement debt of 455 and enters a positive 455 ending balance in its illustrated setup. That is an example under a particular convention, not a universal rule to negate—or always keep positive—every card statement.

Reconcile the issued period, not today’s outstanding amount

Use Actions → Reconcile for the selected account. Check statement date, beginning balance and the ending balance from that issued statement. A live issuer balance can include purchases after the closing date and is a different comparison.

In this invented liability check, opening debt is 240, purchases are 75, a refund is 15 and an already-recorded payment is 100. Closing debt is 200. Debt magnitude follows 240 + 75 - 15 - 100; its displayed sign still depends on the verified preference. Check each charge, refund and payment against the statement before finishing a zero-difference reconciliation.

The synthetic debt/display worksheet tests this calculation, the opposite display convention and a missing-payment control. It is not an executed GnuCash test. If a displayed amount looks inverted, inspect the convention rather than rewriting correct transactions.

Do not enter a second card payment

The v5 guide treats a payment from a bank account to the card as a transfer reducing the liability. Look for the existing payment on both account sides before creating another entry. A payment prompt after reconciliation is not evidence that the payment is absent.

If the difference equals a payment, compare its statement date and existing transfer before assuming an expense is missing. Do not alter the starting balance merely to make the difference disappear. The reconciliation manual explains the beginning/ending balance and cleared items that form the check.

For extracting card rows and separating purchases from repayments, use the card CSV guide. This page addresses GnuCash’s liability/display decision. LocalExtract does not reconcile the account or choose signs for your accounting settings. Download for a PDF source.
