eBay US payout CSV: order rows are not extra item receipts
Updated · 3 min read
An eBay US transaction report can contain an order row followed by item rows for a multi-item order. Those rows do not each represent another customer receipt. Establish the report’s grain and payout identity before summing a CSV to explain a bank deposit.
The desktop apps export date, description, and amount as CSV. Open CSV in Excel to save an XLSX workbook. Statement support varies: verify the result against your own PDF.
Export the relevant transaction report
- In Seller Hub → Payments → Reports → Transaction report, select report type and dates, then Create.
- Customize payout details and fee columns where needed. Preserve the original and selected range, including adjustments, refunds and fees.
- Open the particular payout under Payouts and inspect its constituent transactions, initiated time, destination and status.
- Retain payout ID separately from order, item and Reference ID roles before choosing the amount grain.
eBay’s sales-reconciliation instructions describe the report and multi-item hierarchy; the Payouts guide covers payout details. Neither makes similarly named identifiers interchangeable.
Open the relevant payout under Payouts to inspect its constituent transactions, initiated time, destination and status. Keep payout ID distinct from order and item identifiers. The transaction report’s Reference ID is also not automatically an order, item or payout ID. A same-looking identifier name is not an authorized join rule.
Choose one consistent amount grain
The invented multi-item exercise contains an order total of 100 and two supporting item rows of 60 and 40. Counting all three as receipts incorrectly produces 200. With a separately stipulated 10 fee and 20 refund, the payout bridge is 70, not 170. The exercise retains item membership while counting the order receipt only once.
| Fictional row role | Amount in one unspecified currency | Count toward the receipt? |
|---|---|---|
| Order total | 100 | Once at the chosen order grain |
| Supporting item | 60 | Included in the order, not another receipt |
| Other supporting item | 40 | Included in the order, not another receipt |
| Separate fee | −10 | Payout component |
| Separate refund | −20 | Payout component |
| Correct bridge | 70 | 100 − 10 − 20 |
| Incorrect mixed-grain bridge | 170 | 100 + 60 + 40 − 10 − 20 |
Keep currency and payout membership with every component. Equal amounts or repeated descriptions do not justify deleting a legitimate item or adjustment. If the actual report’s hierarchy is unclear, hold the sum until its row roles are established rather than treating every line as standalone cash.
Confirm the bank stage
Processing and on-hold amounts are not already paid-out receipts. A payout’s initiated status, date and destination support an investigation, but the actual bank observation establishes receipt. Preserve unidentified reference relationships as exceptions. These controls test fictional hierarchy and arithmetic; they do not generate an eBay report or establish an export schema for every account.
