BILL Spend & Expense: export reimbursements and card records separately
Updated · 4 min read
In BILL Spend & Expense, obtain reimbursement records and card transactions separately. They describe different events, and the reimbursement export inherits the filters and column choices on its page. Before comparing a bank debit, preserve what each file covers and whether its export actually completed.
The desktop apps export date, description, and amount as CSV. Open CSV in Excel to save an XLSX workbook. Statement support varies: verify the result against your own PDF.
Export the required reimbursements
BILL’s current browser reimbursement instructions describe this route in Spend & Expense. Use the company and access role authorized for the review; do not substitute a BILL Accounts Payable vendor-payment export.
- Open
Reimbursementsand record the company, date basis and period required. Purchased date and submitted date are distinct filters; changing between them can change which claims appear. - Inspect the column selector. Preserve the fields needed for the investigation, such as status, payment method and claimant context, when available to your role.
- Open the filter controls, record the selected conditions and apply them with
Done. The documented filters include amount, status, name, reimbursement type, payment method, sync status and budget as well as the two date bases. - Choose
Exportand decide whether to include only visible columns. That choice omits hidden columns; absence from the resulting file does not prove the underlying information was blank. - Select the available export format and, if needed, the separate receipt option, then confirm the export. BILL documents CSV, XLSX, OFX and QBO choices for this vendor workflow; these are BILL capabilities, not LocalExtract export formats.
- Inspect
Export Viewer. In-progress exports are not completed files; successful exports show a checkmark, and failed exports show a warning. Download a successful file within its documented 24-hour availability and retain the original with its settings.
Do not call a download complete merely because the request was submitted. If the investigation requires a field excluded by the visible-column setting, obtain the appropriately scoped export rather than reconstructing the missing status from another file’s totals.
Obtain the card population independently
For an administrator collecting card data, BILL’s data-download guide gives a different route: open Transactions, select Pending and cleared (expand the navigation if necessary), then use the export controls. Record the actual state, period, filters and visible-column choice alongside this file too.
A pending card authorization, a cleared card transaction and a reimbursement request are not interchangeable. Keep the two source sets separate while investigating whether a particular purchase appears in both. The receipt/card/claim review explains purchase identity and claim evidence; repeating its amount-based exercise here would not establish BILL-specific export coverage.
The same download guide also describes company payment history under Company, then Payments. That history is another record class. Do not automatically label a company payment as proof that a particular employee received reimbursement into their bank account.
Check what a missing row or field means
| Fictional observation | What to check next |
|---|---|
| A claim is absent from a submitted-date export | Compare the requested date basis and filters before calling it missing |
| The export omits the status column | Check the selected columns and export option; do not fill the status with “paid” |
| Export Viewer still shows work in progress | No completed file has yet been established |
| A card row and reimbursement have equal amounts | Preserve both source identities and obtain purchase/claim evidence |
These are editorial teaching scenarios, not BILL account observations. A filtered export cannot establish the complete history of every reimbursement, and an exported payment state alone does not prove a bank receipt. Keep missing settlement evidence as a separate question for the authorized owner.
Retain original files, company/role context, filter settings, column choices, format, export completion observation and download time. Keep any later working copy separate so that a reviewer can explain why its population differs from the source.
If the bank evidence is only PDF, LocalExtract can prepare a local CSV, one PDF at a time, with date, description, amount. Verify it against the issued statement; it does not connect to BILL or identify reimbursed purchases automatically.
The editorial export-scope worksheet provides separate reimbursement and card records to fill during an authorized review. Its fictional aliases and NOT_INSPECTED values are prompts, not BILL exports, verified payment states or proof of employee receipt.
Official BILL browser documentation checked October 17, 2026. This guide concerns the documented US-oriented Spend & Expense workflow, not a guarantee of availability in other BILL products or countries.
