Rho: why an Expenses CSV is not your settled bank activity

Updated · 4 min read

A Rho Expenses CSV can differ from the credit-card statement because it can contain pending or incomplete charges and omit merchant refunds or adjustments. A settled checking export answers another question again: what posted to one checking account. Do not make these totals equal by deleting expense rows.

For a US business collecting month-end records, first identify whether the disputed number is card spend, expenses awaiting completion, or settled bank activity. Rho’s card FAQ explains the Expenses CSV differences; it does not say that every card purchase appears as its own checking debit.

The desktop apps export date, description, and amount as CSV. Open CSV in Excel to save an XLSX workbook. Statement support varies: verify the result against your own PDF.

Three sources, three review questions

SourceQuestion it can help answerWhy a direct total comparison can fail
Expenses CSVWhich company expenses are listed?Pending or incomplete charges may be included; refunds and adjustments may be absent
Credit-card statementWhat does the issued card period show? Its period and adjustments need their own inspection
One checking account’s SETTLED CSVWhat settled in that checking account, with running balances? It is a bank-account scope, not the individual card-expense population

A pending item belongs in the review inventory if you need to follow it up. That does not make it a settled checking movement. Keep its original source and status rather than assigning an assumed bank-posting date.

Export the documented running checking balance

Use Rho’s running-balance export procedure:

  1. Open Banking and highlight the specific checking account on the left.
  2. Filter the account to transactions with SETTLED status. The instructions exclude pending or unsettled transactions from this running-balance workflow.
  3. Choose Export CSV and make sure Balance is selected.
  4. Select the required date range and download the CSV. Retain the original file and account context.

All Accounts is a different selection. Rho says its Balance column will be blank when all accounts are included. A blank running balance is therefore a reason to check account selection before suspecting missing bank transactions. Do not manufacture balances by cumulatively summing an account mixture.

Investigate a difference in the right source

If the expense total exceeds the card statement, inspect which entries were pending or incomplete and compare the actual statement period. If the statement contains a credit missing from the Expenses CSV, retain that credit in a separate statement-to-expense explanation. Do not add an artificial expense refund merely to force equal totals.

If a bank CSV balance is missing, inspect the account selection, SETTLED filter and Balance export option. If those controls are correct but the file still lacks the expected information, keep the file and request clarification from Rho. The published steps do not establish the field names of a separate pending-card export.

Synthetic discrepancy, without claiming a bank match

Assume an illustrative expense list contains an $80 completed charge and a $20 pending charge, while the hypothetical card statement contains the $80 charge and a $5 merchant refund. The arithmetic is $100 in the illustrative expense list versus $75 in the illustrative statement. The $25 difference consists of two different explanations, not one missing $25 bank debit.

ExplanationIllustrative amountReview treatment
Pending charge in expenses$20Follow up its status; do not call it settled
Refund on card statement only−$5Keep the card credit in the comparison
Difference between the two totals$25Explanation of source scope, not a checking-account posting

These invented values explain the documentation’s two exclusions. They do not describe Rho’s actual CSV schema, a customer statement or the timing of an eventual card settlement. Deliver the separate source inventories and unresolved items to the person responsible for the books.

Synthetic review case. The values are teaching data, not a vendor export or an import file.

For a bank source available only as PDF, download LocalExtract. It processes one PDF locally into date, description, amount CSV; review and adapt those rows for the actual destination.
