QuickBooks first connection: opening balance or overlapping history?

Updated · 3 min read

When a first bank connection appears to duplicate an opening balance in QuickBooks Online, compare the starting date, existing opening entry and imported historical range. A matching amount alone does not establish which entry is wrong. Do not delete an opening balance or edit old transaction dates to make the total fit.

This guide is for initial account setup in QuickBooks Online US. A changed beginning balance after a completed reconciliation is a different task; use the reconciled-record history guide for that situation.

The desktop apps export date, description, and amount as CSV. Open CSV in Excel to save an XLSX workbook. Statement support varies: verify the result against your own PDF.

Understand what the opening entry summarises

Intuit’s opening-balance instructions define an opening balance as the account amount when you begin tracking it. For connected accounts, QuickBooks calculates it using the selected starting point and downloaded activity. For a manually created account, the As of date and opening amount establish the boundary.

The same guide warns that entering older transactions already summarised in an opening balance can count the money twice unless the opening treatment is adjusted appropriately. That is a coverage relationship, not a rule to remove every entry with an “opening” description.

Assemble the initial-connection evidence

  1. Open All apps → Accounting → Chart of accounts, find the intended account and use View register.
  2. Locate the opening-balance entry; Intuit identifies Opening balance equity in this workflow. Record its date and amount without editing it.
  3. Identify any previously entered opening entry, the starting point selected when connecting and the period of the first downloaded transactions. Mark any start date you cannot recover as unknown.
  4. Read the relevant bank statement’s actual period and opening or closing amount. Establish which boundary each number describes before comparing it with an As of value.

The register shows current entries, not necessarily every decision made during the original connection. If the connection history is unavailable, do not invent its start date from the earliest row presently visible.

Synthetic overlap that arithmetic cannot resolve alone

An invented working file starts with $1,000 at a boundary. An older receipt of $200 is already included in that amount. Adding both $1,000 and the old $200 as if they were independent produces $1,200, a $200 overlap. But the same $200 receipt occurring after the chosen opening boundary could be valid new activity.

Keep two labelled timelines: what the opening summarises and what the individual transactions cover. The arithmetic can reveal the consequence of the assumed overlap; it cannot prove which timeline your account used.

Deliver the opening entries, date ranges and bank evidence to the responsible accountant, with unknowns left visible. Deciding whether to correct an opening, remove a duplicate setup entry or bring in older history requires that evidence. The result of this task is a documented boundary comparison, not an automatically repaired balance.

Synthetic review case. The values are teaching data, not a vendor export or an import file.
