QuickBooks: matched bank payment, but the invoice is still open?
Updated · 3 min read
A bank transaction can be matched while an invoice remains partly unpaid. In QuickBooks Online, the bank match identifies the corresponding transaction; the payment’s invoice allocation determines which invoice balance it reduces. Inspect both relationships before recording another payment.
This guide helps a US QuickBooks Online user investigate an existing match. It does not instruct you to change a real customer balance or assume that the suggested match was correct.
The desktop apps export date, description, and amount as CSV. Open CSV in Excel to save an XLSX workbook. Statement support varies: verify the result against your own PDF.
Start with the bank event, then inspect the payment
Intuit’s matching guide explains that matching links a downloaded transaction to an existing record. Its payment guide separately describes Amount received and the PAYMENT amount allocated to each selected invoice.
- In the relevant Bank transactions account, inspect the matched bank item. Note its amount, date and linked object. Retain the bank evidence; do not select Undo just to see what happens.
- Open the existing linked payment. Record Amount received, the customer, destination and each invoice’s PAYMENT allocation. Close without saving if you are only reviewing.
- Open the affected invoice’s existing details and note the remaining balance and associated payments or credits shown.
- Compare with the customer’s remittance advice. Record whether it identifies the invoice in question, another invoice or only an account-level payment.
If you cannot establish the linked object or the appropriate customer, stop the allocation conclusion there. Equal amounts alone do not prove which invoice a customer intended to pay.
Work through an allocation matrix
Take a synthetic bank credit of $150. The existing payment shows Amount received of $150, with $100 allocated to invoice A and $50 to invoice B. Invoice B originally required $80.
| Object | Illustrative amount | What the relationship establishes |
|---|---|---|
| Bank credit → payment | $150 | One bank event linked to one existing payment |
| Payment → invoice A | $100 | This payment’s allocation to A |
| Payment → invoice B | $50 | Only part of B’s $80 requirement |
| B’s remainder in this simplified case | $30 | An amount to investigate; no new cash receipt is implied |
The bank match can be complete while B still has $30 outstanding. To decide whether that remainder is correct, check other payments, credits and the customer’s instructions. The arithmetic deliberately omits taxes, foreign currency and adjustments; it is not a reproduction of a QuickBooks account.
Distinguish three outcomes before asking for correction
A genuine partial payment: the source evidence supports only part of the invoice. A remaining balance may be expected.
An allocation to another invoice: the payment total agrees with the bank, but its distribution differs from the remittance. Preserve the current allocations and the remittance for the responsible reviewer; the bank amount alone cannot resolve the choice.
A possible unapplied amount or credit: inspect the existing payment and customer records rather than creating another receipt. The payment guide describes an excess as an amount to credit in the relevant workflow, but that does not prove one exists in your case.
Intuit’s current banking-page guide also describes partial and combined match suggestions. A suggestion is a candidate, not an audit conclusion; keep it distinct from a saved match.
The completed handoff should show the bank reference, existing payment identity, per-invoice allocations, observed remaining balances and unresolved evidence. It should explain why the bank match and invoice status differ without duplicating the cash receipt or forcing the invoice to zero.
Synthetic review case. The values are teaching data, not a vendor export or an import file.
