QuickBooks: trace a grouped deposit before explaining the bank gap

Updated · 4 min read

When a QuickBooks Online deposit differs from the bank receipt, start with the existing deposit’s composition, not a new income entry. Undeposited Funds holds payments awaiting grouping; a bank deposit groups selected payments. Neither the whole Undeposited Funds balance nor one invoice necessarily equals a particular bank credit.

For the US QuickBooks Online workflow, prepare a payment-to-deposit-to-bank comparison before the person responsible for the books makes any correction. Intuit’s bank-deposit guide describes both the grouping and the separate treatment of bank or processing fees.

The desktop apps export date, description, and amount as CSV. Open CSV in Excel to save an XLSX workbook. Statement support varies: verify the result against your own PDF.

Inspect the existing deposit, without recreating it

  1. Open Reports → Standard reports, search for Deposit Detail, and run the report for the relevant period.
  2. Open the individual deposit’s details. Note its destination account, date, selected payments and any additional lines. Close without saving changes when you are only gathering evidence.
  3. Inspect the source payments and their Deposit To destination. A payment already recorded directly to the bank is not another undeposited item to add to the same cash receipt.
  4. Compare that specific deposit with its actual deposit slip or processor settlement and the bank’s posted credit. Record the reference, currency and amount from each source.

Intuit says each bank deposit is a separate record and tells users to group payments by the actual deposit slip. It also distinguishes QuickBooks Payments, which can process and move transactions automatically. Do not apply a manual grouping procedure on top of an existing automatic deposit without first identifying what is already recorded.

Separate the three amounts

AmountEvidence to collectMistake this avoids
Individual customer paymentsPayment identities, amounts and Deposit To destinationAdding payments already sent directly to the bank
Existing grouped depositSelected payments and additional lines in Deposit DetailComparing the bank against the entire Undeposited Funds balance
Actual bank creditPosted bank record plus deposit or settlement evidenceTreating an expected net amount as received cash

The difference is a question to explain, not proof of a fee. Intuit documents a separate negative fee line in the deposit window rather than editing original payments. Use that distinction to inspect an existing fee line; do not create one merely because a subtraction works.

Worked composition: $300 in receipts, $296 at the bank

Consider invented payments P-A for $120 and P-B for $180. The deposit evidence identifies both, and a separate processor document identifies a $4 fee. The supported comparison is $120 + $180 − $4 = $296.

ComponentIllustrative amountEvidence required in a real review
P-A$120Existing payment and membership of this deposit
P-B$180Existing payment and membership of this deposit
Fee−$4Settlement evidence and whether the fee is already recorded
Net deposit$296This deposit’s total and the posted bank credit

If P-B is absent from the deposit, that is a membership issue. If the $4 fee is already present elsewhere, adding it again is a second expense. If the processor has not provided the composition, mark the $4 unexplained even though it looks plausible. The example’s numbers are synthetic, not an observed QuickBooks export.

Deliver a review trail instead of a forced match

Intuit’s payment-recording guidance distinguishes payment destination and invoice allocation. Retain those identities alongside the deposit identity; a customer total does not establish that each payment belongs in this bank credit.

Finish with one row per included payment, one row per separately evidenced adjustment, and a bank-receipt reference. List unresolved membership, fee and timing questions. This outcome prepares the correction decision without entering another sale, changing original payment amounts or treating an unverified difference as a processing charge.

Synthetic review case. The values are teaching data, not a vendor export or an import file.
