QuickBooks: changed reconciled records and beginning balance

Updated · 3 min read

If a previously reconciled QuickBooks Online US account now starts with a different beginning balance, investigate changes to already reconciled records before editing the beginning balance. The reconciliation discrepancy report can identify changed entries, but its difference is a diagnostic lead, not permission to restore every old value automatically.

This guide is for an account reconciled before. First-time opening balance setup is a different task. LocalExtract can prepare rows from a bank PDF; it cannot retrieve QuickBooks edit history.

The desktop apps export date, description, and amount as CSV. Open CSV in Excel to save an XLSX workbook. Statement support varies: verify the result against your own PDF.

Preserve the last completed comparison

Collect the last reconciliation report, its bank statement, the current beginning-balance difference and the same account’s register history. Confirm dates and account identity before deciding a record changed. Do not compare a historical statement closing balance with today’s available bank balance.

Intuit’s beginning-balance troubleshooting for reconciled accounts requires admin access to view and edit reconciliation information. If you cannot see the relevant records, request the appropriate review from the company administrator rather than trying a different account.

Read the discrepancy report without correcting yet

  1. Open All apps → Accounting → Reconcile and select the affected account.
  2. When the beginning-balance warning is present, use We can help you fix it to open the discrepancy report.
  3. Record each listed transaction, its difference and What happened.
  4. Open the transaction and View History to inspect the full change history.

Retain original and current values, who changed them and when, and which bank evidence supports the intended record. A correct historical transaction may have been changed incorrectly; equally, an older record may itself have been wrong. Only the evidence decides which correction is justified.

The report does not expose every possible change. Intuit also points to Settings → Audit log, including investigation of deleted or voided transactions. If the listed differences do not explain the beginning balance, keep the unexplained remainder open rather than writing an adjustment for it.

Test a candidate explanation against the direction of change

In a synthetic example, the last reconciled balance was 1,000.00 USD. One reconciled payment changes from −60.00 USD to −90.00 USD. That record’s signed change is −30.00 USD; if nothing else changed, it would reduce the resulting balance by 30.00 USD.

The synthetic change worksheet checks that signed arithmetic. It does not prove that an actual 30.00 USD discrepancy has this cause or that this is the only changed record. Check every relevant difference and preserve unresolved items.

Hand off an evidence-backed correction decision

Give the responsible accountant the report, history and bank evidence before reversing a reconciliation, recreating a deleted transaction or changing its reconciled status. Intuit’s corrective routes depend on what changed; setting every line to reconciled is not a general repair.

After an authorized correction, compare the beginning balance and the same prior reconciliation evidence again. Keep this task separate from matching a new bank payment or preparing a new CSV import.

LocalExtract exports date, description, amount CSV from a single PDF locally. It does not undo reconciliations, restore deleted records or update QuickBooks. Download for a PDF source.
