QuickBooks employee cards: reconcile the parent or subaccounts?
Updated · 3 min read
For multiple employee cards under one QuickBooks Online US parent account, base the connection on how the issuer delivers transactions. Connect only the parent when all activity downloads there, or connect the subaccounts when activity downloads separately. Do not connect both levels. For the consolidated statement, the subaccount transactions roll up into the parent’s reconciliation.
The task here is choosing the correct account scope before reconciling, not creating another credit-card repayment. For PDF-only evidence, LocalExtract can prepare card rows; it cannot determine your issuer’s connection topology.
The desktop apps export date, description, and amount as CSV. Open CSV in Excel to save an XLSX workbook. Statement support varies: verify the result against your own PDF.
Establish the issuer’s actual structure
Intuit’s bank and credit-card subaccount guide describes a parent with individual cards beneath it. An additional account for payments may require another subaccount. Inspect the current chart of accounts and the issuer’s statement before changing connections.
Record the consolidated account, each included card alias and where purchases and payments arrive. Distinguish an issuer’s overall balance from the card-specific transaction history. Some banks supply the same static overall balance at each subaccount; those displayed values are not automatically separate liabilities to add together.
Choose one connection level
| Issuer download behavior | Connection described by Intuit | Check before proceeding |
|---|---|---|
| All card activity downloads to one account | Parent only | The download really includes the included cards |
| Activity downloads separately to individual accounts | Subaccounts, not parent | Each feed belongs to the intended subaccount |
| Behavior or payment account unclear | Establish issuer and chart structure first | Do not guess from matching balances |
QuickBooks prevents connecting both parent and subaccounts. Disconnecting and reconnecting is not a harmless way to investigate: it changes the feed configuration. Have the responsible administrator review the evidence before changing an established setup.
Intuit also warns that the same opening balance can initially download into multiple subaccounts. Investigate duplicated opening records with the bookkeeper rather than deleting every repeated value; the article’s warning does not authorize bulk removal of established accounting entries.
Reconcile the consolidated statement at the parent
Intuit directs reconciliation of the parent because its subaccount transactions roll up. Verify that the statement period, parent account and included card population match before selecting items.
In a synthetic example, employee card A has 70.00 USD of purchases and card B has 30.00 USD. The consolidated statement covers 100.00 USD. If the issuer displays a static 100.00 USD overall balance beside both cards, adding those displays produces 200.00 USD, not the purchase population. The synthetic parent-card worksheet checks this distinction; it is not an issuer sample or a completed QuickBooks reconciliation.
If purchases are missing, resolve their source scope. If the same repayment appears at the bank and card sides, use the separate credit-card payment guide. A connection hierarchy and a repayment relationship are different problems.
LocalExtract prepares date, description, amount CSV from one PDF at a time. It does not create subaccounts, connect feeds or reconcile the parent. Download for a PDF statement.
