Etsy UK deposit differs from net profit: check availability

Updated · 2 min read

For an Etsy UK shop, a deposit can differ from monthly net profit because available funds and the deposit interval differ from the month’s sales. Start from the actual deposit, then inspect the sales, fees, taxes and other activity affecting that interval. A reserve release is not a second sale.

The desktop apps export date, description, and amount as CSV. Open CSV in Excel to save an XLSX workbook. Statement support varies: verify the result against your own PDF.

Obtain the monthly statement CSV

  1. Open Shop Manager → Finances → Monthly statements → View all.
  2. Select year and month, choose Generate CSV, and use the download in Etsy’s email.
  3. Retain every month intersecting the deposit’s investigation window. A calendar-month file may cover only part of the interval since the previous deposit.
  4. Locate that deposit and inspect the availability information, including Info. Retain Fee/Tax, refunds and intervening activity instead of selecting only gross sales.

Etsy’s deposit-calculation instructions describe the statement and availability investigation. Its payment-account reserve guidance explains why release and sales are separate facts.

The simplified sales-minus-fees calculation is not a complete rule for every shop event. The deposit investigation must retain the applicable availability and balance movements rather than substituting the month’s net profit.

Do not treat reserve movement as new cash received

Reserve percentages and holding periods depend on the account. Do not borrow another seller’s percentage or release schedule. Released funds become available in the payment account and may meet costs before being deposited. Availability, released reserve, scheduled deposit and observed bank receipt are separate facts.

The invented availability exercise sets 600 available sales, 100 still unavailable, 60 fees/taxes, a 40 refund and a 30 release of previously reserved funds. Its stipulated deposit bridge is 530. Adding the unavailable 100 or counting the released 30 again as a new sale gives the wrong result. These figures illustrate population choices; they are not Etsy pricing, a tax calculation or a real shop export.

Keep a deposit-specific exception record

Record the deposit identity, previous-deposit boundary, currency, source months and each unexplained component. Compare the bank’s actual posted receipt after checking destination and reference. If a necessary availability date or reserve component cannot be evidenced, hold that component instead of inserting a balancing amount. Keep tax recognition and accounting classification outside this cash-investigation example.
