Brex: card statement, Banking statement or expense report?
Updated · 3 min read
For Brex bookkeeping, choose the document by the account product and question, not just by whether a download is called a report. A card-cycle statement, a particular business account’s Banking statement and a filtered Expenses export describe different populations. An account verification document is not a substitute for evidence of a historical closing balance.
This guide covers document selection in Brex’s US dashboard. If a statement is available only as PDF, LocalExtract can prepare review rows locally; the issued document remains the evidence for its balance and period.
The desktop apps export date, description, and amount as CSV. Open CSV in Excel to save an XLSX workbook. Statement support varies: verify the result against your own PDF.
Start with the product named in the request
Brex’s account-document instructions separate these routes:
| Requested evidence | Where to look | Scope to retain |
|---|---|---|
| Issued card-cycle statement | Name menu → Statements and documents → Card | Actual statement cycle and card product |
| Business-account month | Statements and documents → Banking | The specific business account beside the statement |
| Custom credit-account period | Accounts → Credit, relevant billing group and date range | Selected entity, billing group and dates |
| Filtered spend investigation | Expenses, filters and selected columns | Role scope and all filters used |
Brex lists statements by product and provides access to users with the relevant product capability. Do not conclude that a missing menu means the account has no transactions. Confirm the product, access and document availability with an account administrator.
Keep an Expenses report separate from a cycle statement
For an Expenses download, inspect the filters and choose columns using the gear icon before downloading. Account admins, card admins and bookkeepers can download team-wide card expenses; other roles can download their personal expenses. A report made by an individual user may be correct for that user while incomplete for the business’s close.
For custom credit reports, select the relevant billing group when multiple entities exist. A calendar-month report does not become the issued billing-cycle statement merely because both cover roughly a month. Keep the displayed range and entity on the review cover sheet.
Brex’s statement instructions distinguish card statements from transaction-data reports and an embedded-partner spend CSV option. Do not advertise every report format as an interchangeable statement download. Check the exact object before requesting another export.
Answer a missing-balance request with the right evidence
Suppose a reviewer needs September’s closing position for one Brex business account. A team’s filtered card-expense CSV does not establish that cash balance. Obtain the Banking statement beside the requested account and verify its printed period. If the reviewer instead needs activity for one card cycle, use that cycle’s card statement.
The synthetic request-to-document worksheet records those separate requests. It contains no real balance or account identifier. Matching a document category is only the first step; the recipient must still confirm whether the actual document meets their evidence requirements.
Retain the original document plus the account alias, product, cycle or dates, billing group, role scope and export settings. Do not label an account-details letter “certified balance proof.” For reviewing extracted rows, use the statement CSV guide.
LocalExtract exports one PDF at a time as date, description, amount CSV. It neither authenticates Brex balances nor creates an account verification letter. Download for PDF review.
