Amazon Pay US: paid order but a different bank settlement
Updated · 3 min read
In Amazon Pay US, an order marked Completed means the buyer’s funds were collected. It does not mean that order’s gross amount has arrived in the merchant’s bank. Trace the order in Amazon Pay, then retain the entire settlement population when explaining the net deposit.
The desktop apps export date, description, and amount as CSV. Open CSV in Excel to save an XLSX workbook. Statement support varies: verify the result against your own PDF.
Confirm the product and order reference
- Confirm that the source account is Amazon Pay, even if the interface uses Seller Central branding.
- Open Orders → Manage Transactions, search the verified Amazon Reference ID or ORO ID, and inspect Payment Details for the order question.
- For the settlement question, open Reports → Payments → All Statements, select the relevant period and download its report.
- Preserve the original and review the complete settlement population before explaining the bank deposit. An order capture alone is not the full payout.
Amazon Pay’s merchant help documents these separate order and settlement paths, the account’s 24-hour window and the account-total reserve. Do not import Amazon Marketplace’s generally fortnightly settlement description.
Preserve AmazonOrderReferenceId and SellerOrderId with the report’s transaction types and actual interval. The reserve is held at account level and is not necessarily attributable to one order.
Remove the capture-only filter for the deposit question
A capture filter helps identify paid orders. It does not explain the whole bank settlement. Review refunds, fees, reserves and settlement or transfer entries in the unfiltered source, distinguishing output transfers from their components. Record the actual export’s time offset rather than inferring it from a potentially ambiguous timezone abbreviation.
The invented Amazon Pay exercise sets captured orders of 400, a 30 refund, 12 fees and 50 withheld as reserve: net candidate 308. The completed 400 order population alone cannot explain the 308 receipt. The exercise separately retains the order references and settlement identity; it is not an export schema or a real payment test.
| Fictional Amazon Pay component or identity | Value | Treatment |
|---|---|---|
| Captured orders | +400 | Funding component |
| Refund | −30 | Funding component |
| Fees | −12 | Funding component |
| Retained reserve | −50 | Funding component |
| Net candidate | 308 | Compare with separate bank evidence |
| Order reference | ORO-SYNTHETIC | Not the settlement identity |
| Settlement identity | PAY-SYNTHETIC | Retain with the complete interval |
All example amounts use one unspecified currency. The reference strings are invented; they do not establish the syntax of an exported report field.
Verify the actual bank stage
A transaction’s presence in the settlement report supports the disbursement investigation, not confirmed bank receipt. Amazon Pay’s missing-disbursement guidance uses its own ACH or trace information after the documented three-to-five-business-day window. Retain the displayed details and actual bank search interval instead of creating another capture or refund to repair an unexplained match.
Leave missing references or an unexplained reserve as exceptions. This cash bridge makes no revenue-recognition or tax conclusion, and an Amazon Pay identifier does not establish an equivalent Amazon Marketplace or AWS record.
For a PDF-only bank source, download LocalExtract. It processes one PDF locally to date, description, amount CSV; it does not access platform accounts or synchronize accounting records.
